Leadership and accountability in remote teams
Project Name: Electronic Compliance Procurement System.
Objective:
The company introduced 319Insight, a compliance tool designed to streamline vendor due diligence and provide real-time visibility of compliance status. The primary challenge was migrating 150 manually completed due diligence files into the new system, as a valid anti-corruption report is mandatory before engaging any service provider.
Scope of Work:
The project involved transferring 150 files and coordinating with multiple stakeholders, including the Compliance Officer, C&P (Contracts and Procurement) Manager, C&P team leaders, procurement officers, and vendors to ensure accurate data entry. Tool Access Rights: I was granted Compliance Administrator rights, enabling full visibility and control.
Additional roles included registering new users and assigning them their respective user rights such as Buyer, Contract Engineer, Technical Duet, Compliance Officer, and Compliance Manager. Upon registration, users received login credentials via email. Tool Adaptability: post-launch, i conducted training sessions for procurement teams and vendors to ensure smooth adoption and usability.
Challenges:
• Uncooperative stakeholders.
• Poor archiving leading to missing documentation.
• Staff turnover disrupting file management.
• Time constraints for scheduled migration meetings.
Solutions:
• Sensitized stakeholders on benefits of electronic compliance.
• Retrieved missing files from desktops and team archives.
• Leveraged team leaders for collaboration.
• Used flexible one-on-one engagements to meet deadlines.
Lessons Learnt:
• Engage stakeholders early to minimize resistance.
• Implement centralized document management.
• Maintain flexibility in communication and scheduling.
• Preserve knowledge through shared repositories.
• User trainings are key for successful adoption.
