  • Provide the Outreach Team Leaders and the Head of Outreach with accurate, relevant and comprehensible data and analyses to inform work plans/budgets
  • Organize meetings, including appropriate documentation of all meetings, action points, and progress against action points from previous meetings
  • Ensure activity work plans and reports are effectively circulated to all Programs Operations teams (channels) as appropriate to ensure effective coordination
  • Work closely with the HR department to support field team with on-boarding of temporary staff as well as payment processing
  • Lead the efficient and effective stock management for all Outreach Teams
  • Verify and track orders for stock and other supplies for Outreach Teams, ensuring that the correct quantities are ordered, distributed and recorded as per agreed forecasts
  • Ensure commodities are procured at a competitive price and according to MSUG procurement guidelines
  • Ensure appropriate Outreach reconciliations of all stock delivered to Outreach Teams, including reviewing appropriate management of stock cards, triangulation of data with service delivery and other records, and agreed implementation plans
  • Coordinate Effective administrative and financial oversight activities
  • Provide accurate documentation to support the channel lead and the outreach channel to efficiently manage all cash and financial transactions, ensuring full compliance with all policies
  • Ensure all appropriate documentation for outreach team expense, advances and reconciliations (including perdiem) are submitted correctly, in time and in full compliance with all policies
  • Provide feedback to channel lead and director programs on all financial expenditures, and proactively identify areas for improvement and provide accurate documentation
  • Ensure all Outreach team leaders receive training on appropriate financial and administrative documentation of all activities; and ensure that all individuals have appropriate tools and forms needed for documentation
  • Lead in provision of accurate and timely reports and improved coordination
  • Coordinate with Technical Services team leaders to produce and analyses technical reports and circulate to the respective channel leads
  • Develop tools and generate regular reports to track progress against recommendations for quality and operations improvement identified through dashboards, reviews, QTAs and other reports
