  • Managing and submitting of daily & monthly bills and invoices for approval before payments is done. example Utility bills, stationaries, electricity bills, & other service providers .
  • Works with maintenance staff and outside vendors to ensure that company's equipments are in good conditions. this include automobile equipments, CCTV cameras. Generators, air conditioners, computers, printers, Screens, stabilizers, chairs, Plumbing works etc.
  • Coordinate and monitor office supply inventory management, proactively ordering necessary items before depletion to avoid workflow disruptions.
  • Ensure proper maintenance of all company automobiles equipment’s through fueling, repairs, timely servicing and renewal of their insurance policies.
  • Liaise with internal auditors to make and update records of all organizational assets and inventory in 33 organization branches and locations across Uganda.
  • Liaise with the ministry of internal affairs to process work permits, operational permits/visas/passes/extensions for the staffs, foreign delegates coming for assignments.
  • Ensure compliance to the government entities this includes NGO bureau, National Finance Authority, URSB, as required from time to time by the government example renewal of the organizational permits for operation, registration with PDPO, Filling returns etc
  • Monthly analysis of operational cost (stationary, fuel, supplies, communications and office consumables) to be shared with the accounts department for budgeting purposes and tracking expenses.
  • Daily supervision of junior staffs ie receptionist, drivers, studio technicians, electricians, cleaners
  • Coordinating logistics arrangements and ensuring cost effective accommodation and transportation for both local and international delegates of the commission. example transport, flights bookings etc,
  • Responsible for the security of the organization by liaising with security company contractors.
  • Ensure proper maintenance of the office buildings, church buildings, and staff residential premises, this includes both minor and major renovations. liaise with project committee.
  • Prepares meeting agendas and takes minutes example management meetings, National finance board meeting, projects meetings, Budget meetings, among others.
