Prepare financial plans and budgets for the company, Produce routine financial management information, statements, and reports for use by management, Verify completeness and justification of payment requisitions and documentation of financial transactions, Ensure up-to-date books of accounts, financial records, and assets register are properly maintained, Provide technical advice and guidance on financial management matters to ensure compliance, Develop sound internal financial management controls, systems, and mechanisms for monitoring to ensure compliance with regulations and efficient and effective management of financial resources, Prepare periodic reconciliations of financial statements and carry out monthly cash book reconciliations to bank statements, Ensure statutory compliance with statutory obligations with key agencies such as URA, NSSF, and URSB, Prepare weekly reports on invoices and payments from foreign companies, Manage staff payroll, Reconcile Receivables and payables, Prepare annual and quarterly budgets in liaison with the Departmental Heads, Execute any other roles assigned from time to time, Prepare accounting information for audit purposes and respond to all audit queries, Develop Organizational manuals and procedures, Align budgeting and actual expenditure, Formulate internal controls for the projects, Introduce internal controls in the organization, Check bank reconciliations and train the staff on how to do it, Perform capacity building, Align the procurements of the organization with the manuals, Advise the CEO on the technical work in the finance and administration office, Recruit staff who can successfully execute the duties in the organization, Provide a supervisory role to the staff of the organization, Develop and maintain effective financial accounting systems necessary to enhance good stewardship for all resources of the organization, Grant management and communication with Board members & donors, Prepare all accounting records and submit them monthly to management and BOD, Document all financial transactions according to GAAP, Responsible for audits both internal and external, Provide technical support to the CEO, Supervise all accounting operations and cash management, Provide technical support during strategic planning, Ensure quality control and supervision of all the projects of the organization, Responsible for planning and forecasting, Ensure all organization’s equipment is maintained in good working conditions, Ensure the safety and security of FOCUS property and staff, Facilitate and mediate regular top-bottom communication effectively, Ensure effective execution of the duties of every staff as per their job description, Report to the finance committee of the BOD and act as the secretary to the Finance Committee, Prepare books for audit, Identify possible loopholes in internal controls, document and provide remedies, Spearhead the revision of manuals and policies in the organization, Responsible for all statutory obligations in the organization, Ensure the availability of all necessary backups for the vouchers/Requisitions, Supervise staff and ensure that their contracts are available in their respective staff files, Conduct staff appraisals, Keep a database of all suppliers and customers of the organization, Ensure that the asset and liability registers are updated regularly, Ensure that the assets are all marked and stored properly, Keep proper records of asset movement with confirmation by signatures from involved parties, Maintain good relationships between the organization and other organizations including the government, Prepare reconciliation statements and cashbooks, Organize and prepare events e.g. AGM, staff meetings, and other necessary activities, Carry out all procurements while following the procurement policy of the organization, Conduct banking both online and physical banking e.g. bank agent, Calculate and record organizational liabilities and assets, such as staff reimbursements, staff arrears, staff advancements, creditors, and debtors, Draft contracts and memorandums of understanding with other parties, File returns, Manage doctors, pharmacists, lab technicians, radiographers, dental department, nurses, cashiers, cooks, cleaners, and askaris, Make reports both financial and non-financial, Conduct meetings, Oversee the development of the business, Market the hospital, Bridge the gap between staff and the proprietors of the hospital, Ensure all medical needs are met and all requirements for the hospital are available
