As a dedicated administrative officer at Capital Law Partners & Advocates, I am responsible for the comprehensive office management, focusing on optimizing client satisfaction, ensuring seamless office maintenance, and executing effective financial oversight. My role is pivotal in fostering positive client relationships and ensuring proper implementation of office regulatory standards for employees.
Client Relations: Address client inquiries, concerns, and complaints with timely and professional responses to foster a supportive community.
Maintenance Coordination: Liaise with service providers for maintenance and repairs, ensuring quality workmanship and timely completion of tasks.
Compliance Management: Maintain up-to-date client files while ensuring adherence to Data protection regulations and industry standards.
Communication Management: Prepare office letters, meeting minutes, notices, and other essential communications to keep both staff and clients informed. Manage the office front desk.
Travel Logistics management: I coordinate travel calendars for both that international and local travels for both my superiors and other work colleagues. This includes booking tickets, accommodation and planning itinerary as required.
Budget Preparation: Develop and manage annual operating budgets, closely monitoring expenses against revenue to ensure financial health while ensuring efficient supply of office consumables.
I am responsible for data entry and record keeping for all staff including tracking and managing their leave.
Risk Analysis: Perform risk assessments to identify potential improvements and recommend solutions to enhance work performance.
Billing Management: Oversee recurring billing processes and implement strategies to collect overdue payments efficiently.
I assist the accounts officer in planning the company’s annual budgets and managing daily expenses, including managing payables and receivables, for the firm to ensure efficient cost-control in line with the budget.
Client relationship management through timely response to inquiries, and efficient turn-around-time to achieve effective customer experience.
I assist in Preparation of the company’s bid documents to enable the company win and execute contracts.
Filing of the company’s returns with Uganda Registration Services Bureau (URSB) and ensuring compliance with the Uganda Revenue Authority (URA) and other legal bodies.
