Annual planning and budgeting
· Consolidates the District annual plans and budgets in collaboration with the district teams
· Participates in the development of the annual procurement plan for the district in liaison with district team based on the approved budget
· Conducts market research on prices for goods, services to works and ensures value for money for district level procurements
Maintains an authentic list of prequalified supplier of goods, services and ensures compliance

Management of district/campus operations
· Ensures the campus/church is ready for all scheduled activities in time.

· Maintains a register of all the assets in the district/campus.

Supports in the money counting process and issues out money bags in time
Maintenance of the campus/campus
· Liaises with the maintenance supervisor, Church in the development of the annual maintenance plans in consultation
· Maintains the annual calendar for maintenance of facilities and equipment on all Watoto facilities
· Coordinates routine maintenance of the facilities in collaboration with maintenance teams
· Supervises the maintenance teams on retainer and sign off their timesheets
· Supervises the outsourced service providers and ensures they deliver satisfactorily
· Maintain organized and up to date records of maintenance in the district/campus
Human resource management and development
· Ensures new staff in the district/campus are properly oriented and job descriptions well explained
· Ensures administrative staff in the district have clear performance standards and are appraised as per the human resource policy
· Prepares a schedule of annual leave appropriately and ensures adequate security cover at all times
Liaises with the HR office to ensure regular updates on staff matters
Management of District/Campus procurement operations
· Ensures that all district/Campus procurement operations are carried out in accordance with the procurement plan
· Assists in sourcing for cost-effective supplies and services, locally
· Monitors the performance of all suppliers and service providers at the District/Campus
· Accurately processes purchase orders and agreements in order to ensure that bidding obligations exist with the vendor
· Ensures proper record keeping of district/campus level procurement files
· Assists in management of contracts in the district/Campus and ensures contracts are delivered satisfactorily in accordance with the agreed terms
· Ensures the District/Campus the sub-contracts committee conducts its work in accordance with established guidelines
Acts as the Secretary to the District/Campus sub-contracts committee
Management of volunteers and interns
· Maintains a list of volunteers and interns for the district/Campus
· Provides guidance and support to all volunteers and ushers at the beginning of every service to ensure smooth operations
Provides support to volunteers in money counting in accordance to the established guidelines
Manages financial operations of the district
· Manages the petty cash of the district.
· Monitors the district budget and ensures expenditures are within budget
· Accounts for funds disbursed for operations at the district.
· Receives and receipts mid week collection and venue booking fees for the district venues, and hand over to the finance team for banking
Reviews the financial reports for the district/campus and ensures accurate reporting of income and expenses
Administrative and secretarial support
· Maintains the district Pastors Calendar and ensures it is up to date
· Assists in preparation of presentations, reports and other documents.
· Coordinates district/campus meetings and ensures they are well organized
· Actively participates in the District meetings
· Takes minutes of the meetings for the district meetings.
Supports the follow up of relevant parties to ensure that action points from the meetings are resolved.
